Groups Administrator and Childcare Coordinator

The Groups Administrator and Childcare Coordinator is responsible for helping to fulfill the vision of the Lead Pastor in all aspects of the job.  The Groups Administrator and Childcare Coordinator is responsible for providing support in facilitating Groups at Grace Church and executing the vision of the Groups department.  The Childcare Coordinator will coordinate childcare for ministry, groups, and special events and serve as the direct supervisor for the childcare workers.    

Responsibilites

  • Answer questions, respond within a reasonable period of time to emails and text messages.
  • Make room reservations if meeting on campus. Coordinate with the facilities department. to make sure the space is ready to receive the group (i.e., set up tables, chairs, tech equipment).
  • Determine whether groups qualify for childcare and prioritize/organize available spots (for each campus).
  • Meet with leaders to assess needs as they grow and encourage discipleship to raise up new leaders.
  • Order Curriculum and materials as needed.
  • Create/update/manage groups’ fair registration forms that are published to group leaders.
  • Communicate and encourage Group Leaders to attend the group fair.
  • Work groups fairs as scheduled
  • Coordinate/execute/attend Groups Events (i.e., Training Seminar, appreciation celebrations).
  • Coordinate catering for events.
  • Update CCB for group activities.
  • Schedule childcare workers as requested for church events, ministry events, Groups, or any other requested events.  
  • Prepare a monthly schedule for the paid childcare workers.  
  • Recruit, interview, hire, and train childcare workers to meet all the needs of Grace Church.
  • Serve as the backup childcare worker when other resources are exhausted.
  • Ensure the childcare environment is properly supplied.
  • Time and Attendance approvals for childcare workers and performance reviews. 
  • Assist with updating childcare policies and standards.  Responsible for training and enforcement of policies and standards with childcare workers.  
  • Coordinate with group leaders to ensure vetted, background-checked volunteers supplement childcare workers as needed, in accordance with group policies. 
  •  Employees who work 20+ hours per week are required to work any “all hands on deck” events, including Easter Sunday, Christmas Eve, etc.
  • Update job knowledge by participating in educational opportunities, reading professional publications, and staying current on industry changes and trends.
  • Stay up to date on all applicable process queues, forms, and data entry in Gracelink for specific departments.
  • Steward approved spending effectively, adhering to spending policies. 
  • Prolonged periods of standing and frequent bending.
  • Must be able to lift up to 50 pounds at a time.
  • Will be exposed to illness-causing bacteria and viruses.

Requirements

  • Born again and water baptized.
  • Have a life that reflects the teachings of Jesus (Matthew 5-7) and produces the fruit of the Spirit (Galatians 5).
  • Devoted to the basic disciplines of the faith – Worship experience attendance, Prayer, and Tithing.
  • Attend worship services regularly.
  • Lead/Attend a small group or serve in a ministry regularly.
  • An appropriate educational background.
  • Experience as a ministry staff member and ministry leadership experience.
  • Detailed knowledge, agreement, and adherence to Grace Church’s vision, mission, and core values.
  • Self–motivated and organized with the ability to build, engage, and lead a team of staff and volunteers.
  • Have strong verbal and written communication skills.
  • Have a spirit of discernment and discretion.
  • A willingness to grow and adapt to inevitable changes found in a local growing church.
