The Groups Administrator and Childcare Coordinator is responsible for helping to fulfill the vision of the Lead Pastor in all aspects of the job. The Groups Administrator and Childcare Coordinator is responsible for providing support in facilitating groups at Grace Church and executes the vision of the Groups department. The Childcare Coordinator will coordinate childcare for ministry, care groups and special events.
Groups Administrator Responsibilities
- Communicate to new Group leaders and current Group leaders, as well as anyone interested in Groups
- Oversee Family Night, including coordination for the food, rooms, childcare, and flow. Be available as needed to handle any issues
- Help recruit and oversee the workload of Groups interns and volunteers
- Grow personally through reading, inquiring of other churches, viewing conference material, etc.
- Ensure Group leaders have gone through membership and training
- Organize all communication for upcoming Groups push, including any handouts or materials needed for Groups campaigns
- Set up Groups fair and encourage Groups leaders to attend
- Respond promptly to individuals interested in joining a Group
- Update and maintain the ongoing Groups catalog
- Gracelink Duties
- Register all Groups in Gracelink and match profiles as needed
- Provide Gracelink support to Groups leaders, including attendance, room reservations, adding new members, etc.)
- Keep Gracelink clean of inactive Groups
- Create Gracelink reports as needed
Childcare Coordinator Responsibilities
- Serve as the supervisor in charge of Grace Church’s paid childcare workers, making sure they are always actively engaged with the children, have a positive and helpful attitude, and are following our gKids policies and procedures.
- Ensure there are plenty of childcare workers, that rooms are safe and pleasing to both children and parents and that the worker/child ratio is correct.
- Schedule childcare workers as requested for church events, ministry events, Groups, Rooted, or any other requested events.
- Recruit, interview, train, and hire childcare workers to meet all the needs of Grace Church.
- Complete all hiring protocols per Grace Church policy.
- Serve as the backup childcare worker when other resources are exhausted
- Ensure the childcare environment is properly supplied for childcare
- Approve hours worked by paid childcare workers
- Prepare a monthly schedule for paid childcare workers.
- Prolonged periods of standing and frequent bending.
- Must be able to lift to 50 pounds at a time.
- Will be exposed to illness-causing bacteria and viruses.
All Staff Responsibilities
- Employees who work 20+ hours per week are required to work any “all hands on deck” events, including Easter, Sunday, Christmas Eve etc.
- Update job knowledge by participating in educational opportunities, reading professional publications, and staying current on industry changes and trends.
- Stay up to date with all applicable process queues, forms, and data input into Gracelink for specific departments.

- Devoted to the basic disciplines of the faith – Worship experience attendance, Prayer, and Tithing
- Attend worship services regularly
- Lead/Attend a small group or serve in a ministry regularly
