The Executive Assistant is responsible for helping to fulfill the vision of the Lead Pastor in all aspects of the job. The Executive Assistant supports the growth, development, and maintenance of the vision for Grace Church by administratively supporting the Lead Pastor and Executive Director.
Responsibilities
- Regularly meet with the Lead Pastor and Executive Director for professional development and spiritual growth.
- Help manage emails, voicemail, and the mailbox for the Lead Pastor, taking the initiative to address all possible items. Maintain discretion when working with sensitive information by guarding your heart against disrespect, gossip, and division.
- Manage Lead Pastor and Executive Director’s calendars. Support the Lead Pastor and the Executive Director with greeting guests and supporting the schedule flow.
- Assist with monitoring budget items and completing financial paperwork.
- Attend meetings in support of leadership and/or prepare materials for leadership meetings as needed. Take notes, prepare materials, and provide research as needed.
- Project management tasks for special projects as needed.
- Employees who work 20+ hours per week are required to work for “all hands on deck” events, including Easter Sunday, Christmas Eve, etc.
- Update job knowledge by participating in educational opportunities; reading professional publications, and staying current on industry changes and trends.
- Stay up to date on all applicable process queues, forms, and data entry in Gracelink for specific departments.
- Physical Requirements- prolonged sitting or standing and computer use.
Qualifications
- Born again and water baptized
- Have a life that reflects the teachings of Jesus (Matthew 5-7) and produces the fruit of the Spirit (Galatians 5)
- Devoted to the basic disciplines of the faith – Worship, Prayer, and Tithing
- Attend worship services regularly
- Lead/Attend a small group or serve in a ministry regularly
- 3 to 5 years of administrative experience is required
- C-Suite level experience is preferred
- Bachelor’s degree in Business or a related field preferred
- Experience with Microsoft Word and Google Workspace preferred
- Experience as a ministry staff member and ministry leadership experience preferred
- Detailed knowledge, agreement, and adherence to Grace Church mission, vision, and core values
- Self-motivated and organized
- Have strong verbal and written communication skills
- Have a spirit of discernment and discretion with proven experience handling sensitive/confidential information
- A willingness to grow and adapt to inevitable changes found in a local growing church
